Vacancy Description

Administration Assistant
Administration, Business and Office Work
The Office Junior is responsible for providing assistance with the general running of the office ensuring the effective running of operations. The Office Junior reports to the Managing Director & Admin/Office Supervisor but assists all members of staff who work with/are employed by The Performance Factory (Wales) Ltd.
- Open and route incoming mail, answer correspondence
- Prepare outgoing mail
- Ensure the Offices and Reception Area are kept clean and organised
- Prepare, issue and send out receipts, bill, invoices etc
- May take dictation
- Purchase supplies
- Operate computer terminal to input and retrieve data
- Recording and updating databases
- Filing
- Projects such as gathering information by phone, letter, email or in person
- Photocopying, printing and scanning documents
- Data entry - using various computer packages Word, Excel, PowerPoint
- Taking credit card payments in person or over the phone
Maintain confidential records and files
- Maintain records of decision
- Manage diaries and schedule meetings
- Prepare packages for meetings
- Manning the reception desk
- Greeting and assisting visitors in a friendly and helpful manner
- Answering phones in a courteous manner
- Directing calls and responding to inquiries
- Record massages accurately
- Keep a detailed logbook of call history
- Managing diaries and making appointments
- Help promote the business by: Keeping the company website up-do-date, managing all social media sites, informing local newspapers, magazine and radio stations about forthcoming projects and events
- Perform other related duties as required
